Privacy policy

Last updated

This policy explains what Trees and Rain LLC collects when you use the Toolix app for iOS and Android and the www.toolixapp.com website, how we use it, who can see it, how long we keep it, and how to delete it.

At a glance

  • Who we are. Toolix is made by Trees and Rain LLC. Questions go through our contact form.
  • Sign-in. You sign in with Apple, Google or Facebook. Toolix has no passwords.
  • What we collect. The name, email address and profile photo link your sign-in provider shares; the tools, photos, notes and messages you add; your friends, loans and tips; your Pro status; and device, analytics and crash data.
  • What we don’t collect. Your device’s location, your contacts, your phone number, payment card details, microphone audio or health information.
  • Other users see a lot. Your display name, profile photo, tools, tool photos and notes, and your lending activity are shared with other Toolix users. Don’t add anything you wouldn’t want other users to see.
  • No selling, no ads. We don’t sell your personal information, show you ads or track you across other companies’ apps and websites.
  • You can delete it. Delete your account at any time in the app (Settings → Delete My Account) or with our data deletion request form. See how deletion works.

Who we are

Toolix is a mobile app for iOS and Android that lets you catalog your tools and lend and borrow them with friends. The app and the website at www.toolixapp.com are provided by Trees and Rain LLC (“we”, “us”, “our”). Trees and Rain LLC is the controller of the personal information described in this policy, which means we decide how and why it’s used.

This policy covers the Toolix app, this website and its forms, and emails you exchange with us. It doesn’t cover services run by others that you reach through Toolix, such as Apple, Google, Facebook, Venmo, the App Store, Google Play or retailer websites. Their own privacy policies apply.

For any privacy question or request, use our contact form.

Information we collect

We collect only what we need to run Toolix. Here is all of it, grouped by where it comes from.

From your sign-in provider

Toolix has no passwords. You sign in with Apple (in the iPhone app), Google or Facebook. When you agree, that provider shares a few details with us:

  • A user ID from the provider, so we can recognize you next time.
  • Your email address. If you use Sign in with Apple and choose Hide My Email, we get a private relay address from Apple instead of your real one.
  • Your name. Apple shares your name only the first time you sign in.
  • A link to your profile photo, from Google or Facebook. We store the link, not a copy of the photo.

If you link more than one sign-in method to your account, we keep these details for each one. We also record when you last signed in.

What you provide in the app

  • Display name. The name other users see. It starts as the name your sign-in provider shares, and you can change it in Settings.
  • Tools. Name, category, brand, type, part or serial number, condition, status, purchase date, notes, and a location label you type yourself (for example, “garage”). The location label is free text. Toolix never reads your device’s location.
  • Tool photos. Photos you take with the camera or choose from your photo library. Toolix only gets the photos you pick. Before uploading, the app resizes each photo and removes its metadata (EXIF), including any GPS location.
  • Messages. The short note you can add to a borrow request, which goes to the tool’s owner.
  • Venmo username. Optional. Add it if you want to receive tips.
  • Friends. The people you send friend requests to or accept.
  • Settings. Whether your support for Toolix appears in your friends’ activity feeds.

Created as you use Toolix

  • Friend connections and pending friend requests.
  • Loan records: who borrowed what, request and due dates, status, returns and recall requests.
  • Tip records: who tipped whom, the amount, its status and the loan it relates to. Tips are paid in Venmo, so we never receive your Venmo login, balance, bank or card details, or confirmation of the payment.
  • Your invite code and, if you joined through someone’s invite, who invited you.

Purchases

Toolix Pro is an optional auto-renewing subscription, monthly or yearly, sold through the Apple App Store and Google Play. The free version lets you add up to 25 tools. You can also make one-time “Support Toolix” in-app purchases. These are voluntary contributions and don’t unlock anything.

  • For Pro, we store which plan you bought, your subscription status and its end date. The app also sends us the store’s transaction ID or purchase token when you buy.
  • For support contributions, we store the amount, the store (Apple or Google) and the product.

Apple or Google handles the payment. We never see or store your payment card or bank details.

Device and diagnostics

  • Push notifications. If you allow notifications, we store a push token for your device and its platform (iOS or Android) so we can tell you about friend requests, borrow requests, returns, recalls and tips.
  • Sign-in sessions. Our authentication service records the IP address and device or browser type (user agent) of each signed-in session, for security.
  • Analytics. Google Analytics for Firebase collects an app-installation ID, your device model, operating system, app version and language, an approximate location (such as country or city) worked out from your IP address, and events such as app opens, screens viewed, session length and in-app purchases. We don’t link analytics to your Toolix account, name or email address.
  • Android advertising ID. On Android, Google Analytics for Firebase may access your device’s advertising ID. We don’t use it for advertising, and we don’t sell or share personal information for cross-context behavioral advertising. You can reset or delete your advertising ID in your Android settings, usually under Privacy → Ads or Google → Ads.
  • iPhone. Toolix doesn’t track you. It doesn’t read your advertising identifier (IDFA) and never shows the App Tracking Transparency prompt.
  • Crash and performance reports. When the app crashes, and for a sample of app sessions, Sentry receives technical details such as device model, operating system, app version, error messages, timing data and recent app log messages. We don’t set your account on these reports, but log messages can sometimes include details such as your user ID, display name or email address.
  • Device permissions. Camera and photo library, only when you choose to add a tool photo, and notifications, if you allow them. Toolix doesn’t ask for access to your location, contacts or microphone.

From our website and support

  • Contact form. Your first and last name, email address, topic and message, your device and app version if you add them, and any screenshots you attach.
  • Data deletion request form. Your account email address, your first name (and last name if you add it), how you sign in, whether you want full or partial deletion, any details you add and, if you choose, your Facebook app-scoped user ID.
  • Messages. Anything you include in a form or in a reply to our emails.
  • Promotions. If a promotion includes a physical item, such as the shirt for Pro yearly subscribers, we ask you by email for your shipping address and size and use them only to send the item.
  • Website visits. Our hosting provider, Vercel, keeps short-lived request logs with your IP address, browser type (user agent) and the pages requested. When you submit a form, Vercel BotID uses signals from your browser and device to check that you’re a person, not a bot. If it can’t tell, the form asks you to tick a box that runs a short proof-of-work check on our own servers; no third party is involved.
  • Cookies. This website doesn’t use advertising or analytics cookies.

What we don’t collect

We don’t collect your precise or device location, your contacts, your phone number, payment card details, microphone audio, health information or passwords.

How we use your information

  • To run Toolix. Create your account and sign you in, store your toolbag and photos, connect you with friends, handle borrow requests, loans, returns and recall requests, and record tips.
  • To send notifications you’ve allowed, such as friend requests, borrow requests, returns, recalls and tips. You can turn them off at any time in your device settings (on iPhone, Settings → Notifications → Toolix; on Android, Settings → Apps → Toolix → Notifications).
  • To handle purchases. Confirm your Pro subscription, apply the 25-tool limit on the free version, and record support contributions.
  • To help you. Answer your questions, look into bugs and reports about users or content, and carry out privacy and deletion requests.
  • To improve Toolix. Understand how the app is used overall, such as which features are popular, and fix crashes and slowdowns.
  • To keep Toolix safe. Prevent fraud and abuse, protect accounts, and enforce our Terms of service.
  • To send promotional items you’ve qualified for.
  • To meet legal obligations, such as keeping records of requests and responding to lawful requests from authorities.

We don’t sell your personal information, use it to show you ads, or let advertisers use it. We don’t use it to make automated decisions that have legal or similarly significant effects on you.

What other users can see

Toolix is social. Friends browse each other’s toolbags and borrow tools, so much of what you add is shared with other people who use Toolix.

  • Your display name, profile photo and Pro badge. Other Toolix users can see these, including when they search for people.
  • Your tools. Your tools, their photos, notes and other details are shared with other users as part of the service, so friends can browse and borrow.
  • Your lending activity and tips. Requests (including any message you add), loans, returns and tips are shared with the other people involved and appear in friends’ activity feeds.
  • Your Venmo username, if you add one, is shared so other users can tip you.
  • Other account details. Other signed-in Toolix users may also be able to access other details on your account, such as your email address and invite code.
  • Your support for Toolix appears in friends’ activity feeds unless you turn off “Share support in Activity Feed” in Settings.
  • Notifications we send to other users can include your display name, tool names and tip details.
  • Tool photos are stored so that anyone with an image’s link can view it, including outside the app.

Don’t put anything in tool names, notes, photos or messages that you wouldn’t want other Toolix users to see.

Service providers and sharing

We use the service providers below to run Toolix and this website. They handle personal information on our behalf, under terms that require them to protect it at least as well as this policy does and to use it only to provide their services to us. Apple, Google and Venmo handle payments as independent companies under their own privacy policies.

Sign-in providers

Apple, Google and Facebook send us the sign-in details described above when you sign in. We don’t send them your Toolix data as part of sign-in. Apple and Google separately act as service providers for notifications and analytics, as shown in the table above.

Retailer links

Some tool pages link to retailers such as The Home Depot, Lowe’s, Acme Tools and Amazon. Opening one takes you out of Toolix to the retailer’s website, and passes only the tool’s brand, name or part number in a search link. The retailer’s privacy policy applies from there.

Other disclosures

  • Other Toolix users, as described in What other users can see.
  • Legal reasons. To comply with the law, a court order or other valid legal process, or to protect the rights, safety and property of our users, the public or us.
  • Business transfers. If Trees and Rain LLC is involved in a merger, acquisition or sale of assets, your information may transfer as part of it. We’ll tell you before your information becomes subject to a different privacy policy.
  • With your permission, in any other case.

We don’t sell your personal information and we don’t share it for cross-context behavioral advertising.

Google user data

When you choose Sign in with Google, Toolix asks Google only for the basic sign-in scopes: openid, email and profile. We don’t request access to Gmail, Google Drive, Contacts, Calendar or any other Google data.

  • What we access: your Google account ID, email address, name and profile photo link.
  • How we use it: only to create your Toolix account and sign you in, show your name and photo in Toolix, and contact you about your account or requests you make.
  • How we store it: in our Supabase database and authentication service, protected as described in Security. It’s deleted when you delete your account, except for the limited records described in How long we keep your information, such as backups and sign-in logs (removed within 30 days) and emails you’ve exchanged with us.
  • How we share it: your name and profile photo are shown to other Toolix users, and other details on your account, including your email address, may be available to other signed-in users, as described in What other users can see. We also disclose it to the service providers that host Toolix and deliver our notifications and email, and when the law requires it.
  • What we don’t do: we don’t sell Google user data, use it for advertising, transfer it to data brokers, or use it to train AI or machine-learning models. People at Trees and Rain LLC don’t read it except with your permission, for security, to comply with the law, or to handle a request you make. We don’t combine it with the app analytics described above.

Toolix’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

To remove Toolix’s access to your Google account, go to the third-party connections page in your Google Account. This stops Toolix from using your Google sign-in but doesn’t delete your Toolix account. To do that, see Delete your account or data.

Facebook data

If you choose Continue with Facebook, you sign in with Facebook Login in a secure browser window. Toolix asks only for your public profile and email address.

  • What we receive: your app-scoped Facebook user ID (an ID unique to Toolix), your name, your email address if your Facebook account has one and you allow it, and a link to your profile photo.
  • How we use it: only to create your account, sign you in and show your name and photo, the same as other sign-in methods.
  • What we don’t do: the Toolix app doesn’t include the Facebook SDK or Facebook App Events, so we don’t send your activity in Toolix to Meta. We don’t access your friends list, posts or any other Facebook data.

Deleting your Facebook data

To delete the information we received from Facebook, delete your Toolix account in the app, or use our data deletion request form. You can include your Facebook app-scoped user ID on the form to help us find your account. See Delete your account or data for the steps.

You can also remove Toolix from your Facebook account under Settings & privacy → Settings → Apps and websites. That stops Facebook from sharing new information with Toolix, but it doesn’t delete what we already have, so send us a deletion request as well.

Sign in with Apple

Sign in with Apple is available in the Toolix app for iPhone.

  • We receive a user ID from Apple and the email address you choose to share. If you choose Hide My Email, we get a private relay address (ending in privaterelay.appleid.com) and Apple forwards our emails to your real address. We don’t learn your real address unless you give it to us.
  • Apple shares your name only the first time you sign in. We use it to set your display name, which you can change.
  • If you use Hide My Email, give us the relay address as your account email when you contact us or request deletion.

To stop using your Apple Account with Toolix, on your iPhone open Settings, tap your name, then Sign-In & Security → Sign in with Apple. Choose Toolix and tap the option to stop using it. This doesn’t delete your Toolix account or data. To do that, see Delete your account or data.

How long we keep your information

We keep personal information only as long as we need it for the purposes in this policy. This table shows how long, including the few things kept for a limited time after you delete your account.

Delete your account or data

What in-app deletion removes

These are deleted immediately and permanently:

  • Your account and sign-in identity records
  • Your profile, including your display name, profile photo link and Venmo username
  • Your tools and their details
  • Your friend connections and friend requests
  • Loan requests and loan history, including the records of your loans that appear in other users’ accounts
  • Tip records and support contribution records
  • Push notification tokens

Tool photo files are deleted from storage within 30 days. Until then, anyone who already has a photo’s direct link can still open it. A few things are kept for a limited time, such as backups, logs, crash reports, analytics and the record of your request. See How long we keep your information.

Before you delete, return anything you’ve borrowed and get your own tools back. Deleting your account removes the loan records for you and for the people you’ve lent to or borrowed from.

Request deletion on the web

If you no longer have the app or can’t sign in, use our data deletion request form.

  1. Enter your Toolix account email address (your relay address if you use Hide My Email), how you sign in, and whether you want everything or only some of your data deleted.
  2. We email that address to check the request is really from you. We act only after you confirm.
  3. We complete the deletion within 30 days and email you when it’s done.

Delete only some of your data

You don’t have to delete your account to remove information. In the app you can:

  • Delete a tool: open it and tap Delete Tool. Its photo file is removed from storage within 30 days.
  • Change your display name or Venmo username in Settings.
  • Remove a friend or cancel a friend request. You can’t remove a friend while a tool is still on loan between you.
  • Turn off “Share support in Activity Feed” in Settings.
  • Turn off notifications in your device settings.

To delete other specific data, such as your loan history, particular photos or your Venmo username, choose “Delete only some of my data and keep my account” on the data deletion request form and tell us what to delete. We verify and complete partial requests the same way, within 30 days.

Your privacy rights

Wherever you live, you can see and change most of your information in the app, delete tools or your whole account at any time, and ask for a copy of your data or other help through our contact form. We don’t charge for this.

EEA, UK and Switzerland

Under the GDPR and similar laws, you have the right to:

  • Access your personal information and get a copy of it
  • Rectification: have inaccurate information corrected
  • Erasure: have your information deleted
  • Restriction: ask us to limit how we use your information
  • Object to processing based on legitimate interests, such as analytics
  • Portability: receive the information you gave us in a machine-readable format
  • Withdraw consent where we rely on it, for example by turning off notifications or camera and photo access in your device settings. This doesn’t affect anything done before you withdrew it.
  • Complain to a data protection authority, in particular where you live or work, or where you think a violation happened

California

If you live in California, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA), gives you the right to:

  • Know what personal information we collect, use and disclose, including the categories and specific pieces, the sources, the purposes and the categories of recipients
  • Delete personal information we collected from you
  • Correct inaccurate personal information
  • Opt out of the sale or sharing of your personal information. We don’t sell or share it.
  • Limit the use of sensitive personal information. We use it only in the ways described below, which this right doesn’t cover.
  • Non-discrimination for using any of these rights

Categories of personal information we collect

In the past 12 months, we collected the categories below for the purposes in How we use your information, and disclosed them for business purposes only to the service providers shown and, as described in What other users can see, to other Toolix users. We don’t collect protected classification characteristics, biometric information, professional or employment information, or education information, and we don’t create inferences or profiles about you.

No selling or sharing

We don’t sell personal information, and we don’t share it for cross-context behavioral advertising. We haven’t done either in the past 12 months. We have no actual knowledge of selling or sharing the personal information of consumers under 16.

Sensitive personal information

The only sensitive personal information we collect is the content of messages you send other users in Toolix and the session credentials that keep you signed in. We use them only to provide Toolix, as California law permits, and never to infer characteristics about you.

How to make a request

  • Use our contact form and choose “Other privacy question or request”. Enter the email address on your Toolix account so we can match your request to it.
  • To delete your data, use the app or our data deletion request form.

Verification. To protect your account, we verify requests by emailing the address on your Toolix account and asking you to confirm. If we can’t verify a request that way, we may ask for more information, which we use only to verify you.

Authorized agents. You can have someone else make a request for you. We’ll ask the agent for your signed permission, and we may ask you to verify your identity with us directly, unless the agent holds a valid power of attorney.

Timing. We confirm California requests within 10 business days and respond within 45 days. We respond to GDPR requests within one month. Where the law allows us more time, we’ll tell you why.

Global Privacy Control. We honor GPC signals. See Do Not Track and Global Privacy Control.

Non-discrimination. We won’t deny you service, charge you a different price or give you a different level of service because you used your privacy rights.

Other US states

If you live in another state with a privacy law, you may have similar rights. Make a request the same way. If we decline it, you can appeal by replying to our decision, and we’ll respond within the time your state’s law requires.

If you’re in the EEA, the UK or Switzerland, we rely on these legal bases:

What’s required. To create a Toolix account, you need an Apple, Google or Facebook account, and we need the user ID and email address your provider shares. Without them, we can’t provide Toolix. Everything else, such as tool photos, notes, your Venmo username and notifications, is optional, though some features won’t work without it.

No automated decisions. We don’t make decisions about you based solely on automated processing, including profiling, that have legal or similarly significant effects on you.

Do Not Track and Global Privacy Control

Some browsers send a “Do Not Track” (DNT) signal. There’s no agreed standard for responding to it, so the website doesn’t change what it does when it receives one. The website doesn’t use advertising or analytics cookies, and we don’t allow third parties to collect information about your activity on our website across other websites over time.

We honor Global Privacy Control (GPC). If your browser sends a GPC signal, we treat it as a request to opt out of the sale or sharing of your personal information for that browser and, if we can link it to you, your account. We don’t sell or share personal information, so today it changes nothing, but we’ll keep honoring it.

In the app, Toolix doesn’t track you across other companies’ apps or websites. See Device and diagnostics for how the Android advertising ID is handled.

International transfers

Toolix account data is stored in the United States. Our service providers may process information in the United States and other countries. If you use Toolix from outside the United States, your information is transferred to and processed in the United States, where data protection laws may differ from those where you live.

When we transfer personal information from the EEA, the UK or Switzerland, we rely on the safeguards our providers offer, such as the European Commission’s Standard Contractual Clauses (with the UK and Swiss additions) and, where a provider is certified, the EU-U.S. Data Privacy Framework and its UK and Swiss extensions. Contact us through our contact form for more information about these safeguards.

Security

We protect your information with:

  • Encryption in transit (TLS) between the app, this website and our servers
  • Encryption at rest, provided by our hosting providers
  • Access controls that limit who can reach production systems and data, with server keys kept off users’ devices
  • No passwords to steal: you sign in through Apple, Google or Facebook
  • Photo metadata, including GPS location, removed before upload

No method of sending or storing data is completely secure, so we can’t guarantee absolute security. If a breach affects your personal information, we’ll notify you and the authorities as the law requires. To report a security problem, use our contact form.

Children

Toolix isn’t directed to children under 13, and you must be at least 13 to use it. If you’re under 18, or under the age of majority or of digital consent where you live, you may use Toolix only with your parent’s or guardian’s permission, as our Terms of service explain. Sending tips through Venmo requires that you’re eligible to use Venmo, which in the United States means 18 or older.

We don’t knowingly collect personal information from children under 13. If we learn that we have, we delete it. If you’re a parent or guardian and think your child has given us information, tell us through our contact form and we’ll delete it.

Changes to this policy

We may update this policy when Toolix or the law changes. When we do, we change the “Last updated” date at the top of this page. If a change is significant, we’ll also tell you in the app or by email before it takes effect.
