Delete your account or data

Last updated

This page explains how to delete your Toolix account, or just some of your data, and what happens to your data when you do. Toolix (listed as “Toolix – Borrow & Lend Tools” on the App Store and Google Play) is an app by Trees and Rain LLC.

You don’t need the app, a sign-in or a reinstall to use the web form. If you signed in with Facebook, this page is also our Facebook data deletion instructions.

Ways to delete

Choose whichever suits you. A full account deletion removes the same data either way.

  • In the app (fastest). Settings → Delete My Account. Your account is deleted immediately. See the steps.
  • Web form. No app, sign-in or reinstall needed. We confirm by email that the account is yours, then complete the deletion within 30 days. Go to the form.

Signing out, uninstalling Toolix, or removing it from your Apple, Google or Facebook settings does not delete your Toolix account.

Delete your account in the app

  1. Open Toolix on your phone. You need to be signed in.
  2. Tap the Settings tab.
  3. Scroll to the bottom.
  4. Tap Delete My Account.
  5. When asked to confirm, tap Delete My Account again.

Deletion is immediate and permanent. Your account and the data listed under What we delete are removed right away, and we can’t restore them. If you sign in again later with the same Apple, Google or Facebook account, Toolix starts a new, empty account.

Request deletion on the web

Use this form if you don’t have the app, can’t sign in, or want only some of your data deleted. Here’s what happens:

  1. You tell us the email address on your Toolix account and how you sign in.
  2. We email that address to confirm the account is yours. Reply to confirm. We don’t delete anything until you do.
  3. We complete verified requests within 30 days and email you a confirmation when it’s done.

Signed in with Apple and chose Hide My Email? Your account email is the private relay address Apple created for Toolix. It ends in @privaterelay.appleid.com. Enter that address; Apple forwards our email to your real inbox. You can look it up in your iPhone’s Sign in with Apple settings for Toolix (see Signed in with Apple).

This is the same form as our contact page, with “Delete my account or data” already chosen.

All fields are required unless marked Optional.

Signed in with Apple and chose "Hide My Email"? Use your privaterelay.appleid.com address.

How do you sign in to Toolix?
What should we delete?

Asking on someone else’s behalf? Use the form and say so in the details. We still confirm with the account holder before deleting anything.

What you enter in the form is emailed to our private support inbox so we can act on it. Vercel BotID, run by our website host, checks that a person is submitting it; if it can’t tell, the form asks you to tick a box that runs a short check on our own servers. Resend delivers the email, and Vercel keeps short-lived request logs, including your IP address. We keep your request as described under What we keep. Our privacy policy has the details.

Delete only some of your data

You don’t have to delete your whole account. You can do these yourself in the app at any time:

  • Delete a tool. Open the tool, tap Delete Tool and confirm. The tool, its details and its lending history are deleted right away, and its photo file is removed from storage within 30 days. A tool that’s out on loan can’t be deleted until it’s returned.
  • Edit a tool to change its notes, location or photo.
  • Remove a friend. Open their profile and tap Remove Friend. You can’t remove a friend while a tool borrowed between you is still out.
  • Change your display name in Settings → Display Name.
  • Change your Venmo username in Settings → Venmo Username for Receiving Tips.

For anything else, use the deletion request form and choose “Delete only some of my data and keep my account”. Tell us what to delete: for example your Venmo username, a sign-in method you linked, your tool photos or your loan history. We confirm by email and complete it within 30 days, the same as a full deletion.

What we delete

When you delete your account in the app, or when we complete your verified request, we delete the following right away:

  • Your account and sign-in records: your Apple, Google or Facebook user ID, email address, name, the link to your profile photo from that provider, and your sign-in sessions.
  • Your profile: display name, invite code, and Pro status and subscription details.
  • Your Venmo username.
  • Your tools and everything about them: names, brands, part numbers, notes, locations, condition, purchase dates and photo links.
  • Your friend connections and friend requests, in both directions.
  • Loan requests and loan history, including request messages. This includes the records of your loans on other users’ side.
  • Records of tips you sent or received.
  • Records of your Support Toolix contributions.
  • Push notification tokens for your devices.

After that, other Toolix users can no longer see your profile, your tools or your activity. We can’t recall anything other people already saved or copied, such as a screenshot, or notifications already delivered to their devices.

A few things take longer to delete or are kept for a set time. They’re listed next.

What we keep, and for how long

Data kept after deletion, how long it is kept, and why

Tool photo filesDeleted from storage within 30 daysPhotos are stored separately from your account and removed in a follow-up cleanup. Until then, anyone who already has a photo’s direct link could still open it.
Sign-in audit log entries (account ID, email, name and the time of each sign-in event)Deleted within 30 daysSecurity: spotting and investigating suspicious sign-ins.
Database backupsRoll off within 30 daysRecovering from outages or data loss. Backups are replaced on a rolling schedule.
Server, website and sign-in logs (IP address, device and browser details, request times)Up to 30 daysSecurity, preventing abuse and fixing problems.
Crash reports (Sentry)Up to 90 daysDiagnosing crashes and slowdowns. They include device details and may include recent app log lines, such as a display name or email address. We don’t attach your account to them.
App analytics (Google Analytics for Firebase)Up to 14 monthsUnderstanding how the app is used overall. This data is tied to an app-installation ID, not to your account, so we can’t match it to you.
Your support and deletion-request emails, and our record that your deletion was completedUp to 24 monthsLegal and compliance: showing that we handled your request, and answering follow-up questions.
Purchase and subscription recordsKept by Apple or Google under their own policiesApple and Google process in-app purchases and keep their own records. Our copy of your Pro status and purchases is deleted with your account.
Venmo paymentsKept by Venmo under its own policiesTips are paid in Venmo. No money passes through Toolix, and our record of the tip is deleted.

When a period ends, the data is deleted. We don’t keep any of it longer to use for anything else.

Cancel a subscription

On iPhone

  1. Open the Settings app.
  2. Tap your name.
  3. Tap Subscriptions.
  4. Tap Toolix, then Cancel Subscription.

On Android

  1. Open the Google Play Store app.
  2. Tap your profile icon.
  3. Tap Payments & subscriptions, then Subscriptions.
  4. Select Toolix, then tap Cancel subscription.

One-time Support Toolix purchases don’t renew, so there’s nothing to cancel. Apple and Google keep your purchase history under their own policies.

If you signed in with Facebook

When you continue with Facebook, Toolix receives your name, profile photo, email address and an app-scoped Facebook user ID. We use them to create your account, sign you in and set up your profile. We don’t receive your Facebook friends, posts or other activity.

To delete this data and remove Toolix’s access:

  1. Delete your Toolix account in the app, or request deletion with the form above and choose “Continue with Facebook” as your sign-in method. If you know your app-scoped Facebook user ID, you can add it in the optional field. It helps us find your account if your Facebook email has changed.
  2. In the Facebook app or on facebook.com, go to Settings & privacy → Settings → Apps and websites.
  3. Find Toolix and choose Remove.

Removing Toolix in Facebook stops Facebook from sharing your information with us, but on its own it doesn’t delete the data we already have. Step 1 does that.

If you signed in with Apple

  1. Delete your Toolix account in the app, or request deletion with the form above.
  2. Then, on your iPhone open Settings, tap your name, then Sign-In & Security → Sign in with Apple. Choose Toolix and tap the option to stop using it.

Stopping Sign in with Apple removes Toolix’s access to your Apple account, but on its own it doesn’t delete your Toolix data. If you use Hide My Email and ask us to delete your account through the form, wait for our confirmation email before you do step 2, so our emails to your relay address still reach you.

If you signed in with Google

  1. Delete your Toolix account in the app, or request deletion with the form above.
  2. Go to myaccount.google.com/connections, select Toolix, and choose Delete all connections you have with Toolix.

Removing the connection stops Google from sharing your information with Toolix, but on its own it doesn’t delete your Toolix data.

How long it takes

  • In the app: immediately.
  • Web form: we email your account address to confirm it’s you. Once you reply, we complete the deletion within 30 days and email you a confirmation. Requests to delete only some data follow the same timeline.
  • Within 30 days after deletion: tool photo files, sign-in audit log entries and server logs are deleted, and backups containing your data roll off.
  • Within 90 days: crash reports expire.
  • Within 14 months: analytics data expires.
  • Within 24 months: we delete your request emails and our record that we completed the deletion.
